  1. Greenhill Grange Residential Care Home Limited, a company registered in England and Wales under company number 05337129 and with our registered office at Greenhill Grange, Catherston Close, Frome, Somerset, BA11 4HR; and

  2. Belmont Villa Care Home Limited, a company registered in England and Wales under company number 04289281 and with our registered office at 58-62 Weymouth Road, Frome, Somerset, BA11 1HJ.

Belmont Villa Care Home Ltd and Greenhill Grange Residential Care Home Ltd are the "data controllers" for the information which we hold about you which we collect through the website and our social media pages. This means that we are responsible for deciding how we hold and use the personal information which we hold about you.

3. What personal information do we process?

The information we collect about you depends on whether you are visiting the website, submitting a referral or interacting with us through our social media page. We may collect:

  • Contact details – such as address, email and phone number

  • Comments or opinions

  • Information regarding an enquiry

  • Technical information, including your IP Address , browser type and version, time zone setting, pages viewed and length of visit to our site .

 

 

4. How do we collect your personal information?

We your collect personal information:

  • from you directly both when you submit a referral or complete a contact form;

  • from you directly when you interact with us through our social media page;

  • from your friends and relatives who provide us with information about you;

  • through the use of cookies on our website.

 

5. Why do we process your personal information and what is our lawful basis?

We have set out below the different purposes for which we collect and use your personal data:

Communication: We will need to use your personal information to respond to your enquiry. The lawful basis we rely on is our legitimate interests.

Marketing: We may send you newsletters and marketing material. The lawful basis we rely on is consent, or where you have expressed an interest in the services that we provide, we rely on our legitimate interests. We will only collect and process your details for marketing purposes where we have given you an option to opt out of receiving these emails.

Improving our services:  We maintain and monitor the performance of our website and look at how we can improve and develop the website and the services we provide. Our lawful basis is either Consent, for example when we require your consent for the optional cookies we use, or our legitimate interests. For example in order to maintain the integrity of our IT systems and the continuity of our business.

Where we process your data with your consent, we will offer you a clear choice and ask that you confirm to us that you consent. You can withdraw your consent at any time. 

 

6. What may happen if you do not provide us with your personal information?

If you choose not to provide us with your personal information, we may not be able to provide our services. For example, if you do not provide contact details when submitting an enquiry, we will not be able to respond to your enquiry.

 

7. Analytics

When you visit www.fromefamilycarehomes.co.uk, we use a third-party service, Wix Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out such things as the number of visitors to various parts of the site. This information is only processed in a way that does not directly identify anyone. We use the information to make improvements to our website.

This information is only collected if visitors opt in.

We use a tool on our website to gain consent for any cookies that are not strictly necessary.

9. Social Media

We have a social media page on Facebook. When you engage with our posts, we may receive personal information about you, such as information about which of our posts you like or share, what you view, any comments that you post on the page and what you click on. Meta Platforms Ireland Limited is a ‘joint controller’ with us where we collect information about you from your actions on our Facebook page. 10. Sharing your information

So that we can provide you with our services we may sometimes need to lawfully share your data with other third parties and organisations. We will never share your information with any third parties outside of the purposes set out in our privacy notices without first informing you. Your information will only be shared with third parties in the UK/EU or countries have an adequacy decision with the UK.

 

11. Keeping your information secure

FFCH takes our duty to protect your personal information and confidentiality seriously.

We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used, or accessed in an unauthorised way, altered, or disclosed. Access to your personal information is only allowed on a need-to-know basis. Those with access will only process your personal information as instructed and are subject to a duty of confidentiality. We have put in place procedures to deal with any suspected personal information breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

 

12. Information retention

We will only retain your personal information for as long as necessary to fulfill the purposes for which we have collected it or to fulfill another lawful purpose (as described above). When we no longer have a lawful purpose for holding your data, we will securely destroy your personal information in accordance with our data retention policy.

To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

  1. You have the right to request a copy of all the data we keep about you. Generally, we will not charge for this service;

  2. You have the right to ask us to correct any data we have which you believe to be inaccurate or incomplete. You can also request that we restrict all processing of your data while we consider your rectification request;

  3. You have the right to ask that we erase any of your personal data which is no longer necessary for the purpose we originally collected it for.

  4. You may also request that we restrict processing if we no longer require your personal data for the purpose we originally collected it for, but you do not wish for it to be erased.

  5. You can ask for your data to be erased if we have asked for your consent to process your data. You can withdraw consent at any time – please contact us to do so.

  6. If we are processing your data as part of our legitimate interests as an organisation or in order to complete a task in the public interest, you have the right to object to that processing. We will restrict all processing of this data while we look into your objection.

You may need to provide adequate information for our staff to be able to identify you, for example, a passport or driver’s licence. This is to make sure that data is not shared with the wrong person inappropriately. We will always respond to your request as soon as possible and at the latest within one month.
